What is "personal data"?

Everyone has a right, especially with regard to the respect of his/her private and family life, to the privacy of personal data concerning him/her if there is a legitimate interest in it.

Personal data is information about data subjects whose identity is determined or can be determined. Personal data is therefore not only the name, date of birth, address or social security number, but also records of all kinds and biometric data.

Non-personal (anonymised) data, on the other hand, are details which under no circumstances can be traced back to data subjects. They are therefore not subject to the scope of data protection.

Which personal data do we process from our patients/students/therapists?

In order to fulfil our obligations under contracts and legal requirements, we process the following categories of data of our outpatients, inpatients, students and therapists: General personal data, data on insurance and billing, data on admission/transfer/release, data on patient transport, data on patient care, medical documentation, nursing documentation, social services, examination data; data from curricula vitae, certificates, proofs of qualification, certificates of good conduct and various other certificates.

What do we use the personal data of our patients/students/therapists for?

We use the personal data of our patients/students/therapists exclusively for the fulfilment of our obligations from the contracts concluded with them as well as for the fulfilment of legal requirements.

Any processing beyond this will only take place with the prior consent of our patients/students/therapists and/or at their request.

We use collected, exclusively anonymous information to create reports, for research purposes or for other legitimate business purposes.

To whom do we disclose personal information about our patients/students/therapists?

We protect your personal data and pass them on to third parties only

  • due to legal requirements and/or
  • for the fulfilment of our obligations under the contract and/or
  • (at your request) with your express consent.

Recipients of your personal data include administrative authorities, insurance companies, private health insurers, referring or further treating physicians.

Further recipients of individual data are, in justified individual cases, lawyers, debt collection agencies, external service providers / contract processors.

How do we protect your personal data?

We have ensured the security of our networks, our infrastructure and our information systems and implemented comprehensive technical solutions to protect your personal data, such as password protection, encryption, firewalls, antivirus programs, detection of unauthorized access and anomalies.

In addition, we have taken measures to prevent unauthorised persons from accessing data processing systems with which personal data is processed or used, such as automatic access control systems, chip card locking systems or access logging.

We guarantee that those authorised to use a data processing system can only access the data subject to their access authorisation and that personal data cannot be read, copied, changed or removed without authorisation during processing, use and after storage. We accomplish this by means of specified authorization concepts, rights administration, password changes and the logging of accesses to applications.

We take measures to ensure that your personal data cannot be read, copied, altered or removed without authorisation during electronic transmission or during its transport or storage on data carriers, and that it is possible to check and determine where personal data is to be transmitted by data transmission equipment: we have set up VPN tunnels, encrypt the data during transmission and log retrieval and transmission processes.

We guarantee that we can subsequently check and determine whether and by whom personal data have been entered, changed or removed in data processing systems, by granting rights to enter, change and delete data on the basis of an authorisation concept, by recording the entry, change and deletion of data by individual user names (not user groups) and also by storing forms from which data have been transferred to automated processing.

We take measures to ensure that your personal data is protected from accidental destruction or loss and is therefore available undisturbed. For example, we ensure and monitor the operating conditions (electricity, grid, climate, etc.), have a backup and recovery concept, an emergency plan and keep data backups.

How long do we keep your personal data?

In accordance with legal requirements, we retain documentation for at least 30 years.
